EMAT is the online state ordering system for instructional materials and Instructional Materials Technology Allotment (IMTA) funds. Review the general overview information related to EMAT:
The following explains the process for gaining EMAT access:
Local school systems are responsible for maintaining EMAT training records and must internally document proof of completion for each EMAT user. School systems may use the EMAT Training Certification Form (PDF) or another documentation method. No documentation for EMAT training completion needs to be submitted to ÁñÁ«ÊÓÆÁ.
The link to the Allotment Report can be found by clicking Reports on your District Start Page or by clicking on the bar graph itself.
EMAT allows for two kinds of user access: ordering and view only. Each school system is allowed up to three users for each type of access (for a total of six EMAT users). Only EMAT users with ordering access must complete EMAT training, however it is recommended for all EMAT users, regardless of access type.
Ordering Access: Users with ordering access can submit requisitions and disbursement requests through EMAT. It is recommended that a school system appoint a primary EMAT ordering contact with a backup, if needed.
View-Only Access: Users with view-only access can view orders and reports in EMAT. This role is often assigned to a curriculum director or business manager.
To remove someone from the EMAT Contacts list, notify the Instructional Materials and Implementation Division by . ÁñÁ«ÊÓÆÁ staff will remove the user’s access and remove them from the school system's contact list.
Follow the guidance provided to add a staff member to the EMAT contacts list, which requires actions in ÁñÁ«ÊÓÆÁL.
If the new EMAT user does not have a ÁñÁ«ÊÓÆÁL account, they can create one by:
Once a ÁñÁ«ÊÓÆÁL account is established and the user is logged in, follow the instructions below:
Since school systems are allowed three staff members with view-only access and three staff members with ordering access, you should include the name of the staff member being replaced, if applicable, in the comments box after entering your county district number.
Access requests will be routed to your organization’s approver (superintendent, director, or designee) and then to ÁñÁ«ÊÓÆÁ for approval. EMAT access requests through ÁñÁ«ÊÓÆÁL expire after five days if no action is taken. You will receive an email confirmation when your request has been approved.
Update your shipping addresses in EMAT by selecting Confirm Addresses on your District Start Page. Review and confirm all addresses are accurate and make adjustments as needed. Addresses include:
Once a requisition is approved, the EMAT Delivery Point Address will be shared with the publisher or print vendor. Only one address will be shared with the publisher. Please note that after EMAT reopens in May, all local school systems are required to review and save addresses before they may submit a requisition.
Each school system must update their summer ship dates within EMAT before they can submit new requisitions or disbursement requests.
After completing this requirement, school systems should also confirm their contacts and addresses in EMAT.
EMAT training is required for all new instructional materials (IM) coordinators before access to the system can be granted (), and annual review of the training is recommended for all IM coordinators. EMAT training includes reviewing all information provided on this page and all EMAT training related pages. If you have any questions or concerns, please reach submit an .
EMAT training includes four topics: requisitions, disbursements, accessible instructional materials, and freight. Each topic has its own page with essential information, process steps, and in-depth explanations to ensure EMAT users are well-equipped to use their instructional material funds.
